Job Title: Club Registrar & Member Services Coordinator

Job Type: Part Time

Job Summary:

The Club Registrar & Member Services Coordinator will play a key role in supporting the day-to-day operations of FCSC, ensuring that registration, payments, communications, and administrative processes run smoothly.


This individual will help families navigate registration systems, manage program setup in PlayMetrics, monitor payments, assist during tryouts and events, and provide outstanding customer service to FCSC families.



Key Responsibilities:

Registration & Administration

  • Set up and manage club programs and team registrations in PlayMetrics.
  • Send player invitations, manage rosters, and update player status for competitive and recreational programs.
  • Maintain accurate player, coach, and team records.
  • Track and report payments, and assist with follow-ups for outstanding balances.
  • Assist with ordering and organizing uniforms and player gear.
  • Support the Executive Director in preparing reports or rosters for MYSA, SLYSA, and other league/tournament requirements.

Customer Service & Communication

  • Provide excellent communication with families via email, phone, and PlayMetrics messaging.
  • Attend tryouts and major events to check players in, distribute information, and support club staff.
  • Respond to inquiries from current and prospective members in a timely, professional manner.
  • Support general administrative tasks as needed (e.g., scheduling, document organization).

Collaboration

  • Work closely with the Executive Director, Team Managers, and Coaches to ensure smooth operations.
  • Coordinate with the Marketing/Media team for program updates or registration promotions.



Qualifications:

  • Strong organizational and administrative skills.
  • Comfort using software systems (PlayMetrics, spreadsheets, email, etc.).
  • Excellent communication and customer service skills.
  • Positive attitude, reliability, and attention to detail.
  • Ability to maintain confidentiality of member and financial information.
  • (Preferred) Experience in youth sports administration or customer service.
